1. Use of the Payment Portal
This payment portal is provided by Heritage Christian University for the payment
of approved University fees and charges, including but not limited to application
fees, admission fees, tuition fees, graduation fees, hostel fees, transcript fees,
and other approved institutional charges.
2. Accuracy of Payment Information
The payer is responsible for ensuring that the student name, index number,
admission number, invoice number, programme, payment type, mobile number, email
address, and amount entered are correct before making payment. Heritage Christian
University shall not be liable for delays, wrong allocation, or non-posting of
payments caused by incorrect information supplied by the payer.
3. Authorised Use of Payment Method
The payer confirms that they are the lawful owner or authorised user of the Visa
card, Mastercard, bank account, Mobile Money wallet, or other approved payment
method used for the transaction. The payer authorises the debit of the selected
payment method for the amount displayed at checkout, including any applicable
bank, card, Mobile Money, payment gateway, or service charges.
4. Transaction Charges
Some payment channels may attract processing charges from banks, card networks,
Mobile Money providers, or payment gateways. Where applicable, such charges will
be displayed before payment confirmation. These charges are not determined solely
by Heritage Christian University and may not be refundable.
5. Payment Confirmation and Receipt
A payment is considered successful only after confirmation is received from the
payment service provider and the transaction is verified by the University. An
electronic receipt, transaction reference, SMS, email confirmation, or portal
confirmation may be issued after successful payment. Payers are advised to keep
all payment confirmations and receipts for their records.
6. Posting of Payment to Student Account
Successful payment does not automatically guarantee admission, registration,
examination access, graduation clearance, hostel allocation, transcript
processing, or any other University service unless all applicable academic,
financial, administrative, and regulatory requirements have been met. Payments
may take some time to reflect on the student account depending on the payment
channel, system availability, and verification process.
7. Failed, Pending, or Duplicate Transactions
Where a transaction fails, remains pending, or results in a duplicate debit, the
payer should not repeat payment immediately unless advised to do so by the
University or the payment service provider. The payer must contact the
University's Finance Office or ICT Directorate with the transaction reference,
payment date, amount, payment channel, and payer details for verification and
resolution.
8. Refunds and Reversals
Fees and charges paid through this portal are generally non-refundable except
where a refund is approved under the University's applicable fee, finance,
admission, or refund policy. Refund requests relating to overpayment, duplicate
payment, wrong payment, or failed service delivery must be submitted with valid
proof of payment. Approved refunds may be processed through the original payment
channel or credited to the student's account, subject to verification, applicable
deductions, and University approval.
9. Chargebacks and Payment Disputes
Where a payer initiates a chargeback, reversal, or dispute through a bank, card
issuer, Mobile Money provider, or payment service provider, Heritage Christian
University reserves the right to place the affected transaction, student account,
or service request under review until the matter is resolved. Any unpaid,
reversed, or disputed amount shall remain the responsibility of the student or
payer until fully settled.
10. Security of Payment Credentials
Heritage Christian University will not request card PINs, CVV codes, Mobile Money
PINs, OTPs, passwords, or other confidential payment credentials by phone, email,
SMS, WhatsApp, or social media. Payers must keep their payment credentials
confidential. The University shall not be liable for losses arising from
negligence, unauthorised disclosure, fraud, or use of unofficial payment
channels.
11. Data Protection and Privacy
Personal and transaction information submitted on this portal will be used for
payment processing, verification, receipting, reconciliation, student account
management, audit, reporting, and compliance purposes. Heritage Christian
University will handle such information in accordance with applicable data
protection laws, institutional policies, and legitimate administrative
requirements.
12. System Availability
While Heritage Christian University will make reasonable efforts to keep the
payment portal available and secure, the University does not guarantee
uninterrupted access at all times. Service may be affected by maintenance,
network issues, payment gateway downtime, bank systems, Mobile Money systems,
card network issues, power interruptions, or circumstances beyond the
University's reasonable control.
13. Fraudulent or Suspicious Transactions
Heritage Christian University reserves the right to suspend, reject, reverse,
investigate, or report any transaction suspected to be fraudulent, unauthorised,
unlawful, or inconsistent with University policy or applicable law.
14. Governing Law
These Terms and Conditions shall be governed by the laws of the Republic of
Ghana.

portal.
